This website, hugogas.com, is run by Hugo Gas Ltd, trading as Hugo Gas (Plumbing and Commercial Gas) (“Hugo Gas”, “we”, “us”, “our”). We are the data controller for the personal information collected through this website.

This policy explains what personal information we collect, why we collect it, how long we keep it and the rights you have under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

2. Information we collect

When you request a quote or contact us

Our quote form asks for your full name, phone number, email address, the service you need, the site postcode, details of the job and your agreement to be contacted about your enquiry. If you call or email us, we will also hold your phone number, email address and anything you tell us.

When you browse the website

With your consent, we use Google Analytics and Google Ads to understand how people find and use the website, which pages are viewed, whether the quote form is submitted and whether our phone number is clicked. This can include your IP address, device and browser type, approximate location, pages visited and the advert or search that brought you here.

Our security tools also record your IP address and the pages you request so we can protect the website from attacks and spam.

We do not collect special category data (for example information about health or religion) through this website, and we ask you not to include it in your enquiry.

3. How and why we use your information

We do not use your information for automated decision-making and we will not send you marketing emails unless you have asked us to.

4. Who we share your information with

We never sell your personal information. We only share it with trusted service providers who help us run the website and our business, and only as far as needed:

• Our website host, which stores the website and its database.
• Our email provider, which delivers quote form notifications to our business inbox.
• Google (Google Analytics, Google Ads, Google Maps and Google Fonts) for the purposes described in this policy.
• CookieYes, which records your cookie choices.
• Four Social Marketing & Web Design Ltd, our website and marketing agency, which maintains the website and manages our advertising.

We may also share information where the law requires it, or to protect our rights, property or safety.

5. International transfers

Some providers, including Google, may process information outside the UK. Where this happens we rely on appropriate safeguards, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement and Addendum.

6. How long we keep your information

• Enquiries that do not lead to work: up to 2 years from our last contact.
• Customer and job records: 6 years after the work is completed, to meet tax, accounting and legal requirements.
• Analytics data: no longer than 14 months, in line with our Google Analytics settings.
• Security logs: for as long as our security tools need them, usually no more than 90 days.

7. Your rights

You have the right to:

• be told how your information is used (this policy)
• ask for a copy of the information we hold about you
• ask us to correct inaccurate information
• ask us to delete your information
• ask us to restrict how we use your information
• object to us using your information based on legitimate interests
• ask for your information in a portable format
• withdraw your consent at any time, including your cookie choices

8. Cookies

Cookies are small text files stored on your device when you visit a website. We only use analytics and advertising cookies if you accept them in our cookie banner. You can change your choice at any time using the cookie settings button in the bottom corner of every page, or by clearing cookies in your browser.

If you decline analytics and advertising cookies, our Google tags run in a limited, cookieless mode. They may still send basic, anonymous signals (such as a page view or a form submission) to Google so that we can understand overall website performance, but no analytics or advertising cookies are stored on your device.

The website uses an encrypted (HTTPS) connection, a firewall, login protection, spam filtering and regular backups. Access to enquiries is limited to the people who need it to deal with your request.

Our services are for businesses and adults. We do not knowingly collect information from children under 16.

11. Links to other websites

This website links to other sites, such as Google Maps and Google reviews. We are not responsible for how those sites handle your information, so please read their privacy policies.

We may update this policy when our website, services or the law changes. The effective date at the top of this page shows when it was last updated.
